Technology Asset Management Program (UCOP)
Desktop/laptop computing equipment for use at UCOP Oakland locations is centrally purchased, deployed, and managed. ITS selects standard computing bundles for normal UCOP business use, tracks inventory, and replaces computers at the end of their service life. One computer per individual is provided; approved additional devices are charged at cost to the requesting department. Program benefits include lower computer purchase cost, streamlined purchase and deployment, in-warranty computers for staff, short-term laptop loans, license compliance for standard software, and computer spend management.
For new personnel: Departments request a standard computing bundle via the IT Service Hub.
For current personnel: ITS maintains an inventory of equipment, service records and warranty expiration dates, and contacts customers directly to schedule and prepare for replacement of five-year-old computers. ITS at its discretion may replace computers that have been reported as needing service.
ITS coordinates with the department for approval of laptop requests per systemwide policy, G-46, Guidelines for the Purchase and Use of Cellular Phones and Other Portable Electronic Resources (pdf).
UCOP supports a standardized PC environment to control support and equipment costs.
Departments pay a monthly technology infrastructure fee (TIF) per individual to cover a standard computing bundle, office phone, voicemail, and network access.
Departments must request approval for nonstandard equipment.
Nonstandard equipment purchases must have a business justification
ITS is responsible for tracking and reporting on desktop computing assets.
UC policy requires a signed agreement for use of mobile devices.
