Records storage

Onsite Boxed Record Storage (12 months or Less)

UCOP offices at the Franklin and Broadway buildings may temporarily store certain onsite boxed records.  These must be records that need to be retained for business purposes, less than 12 months.  Departments are responsible for maintaining inventories and knowing the contents of each box.

Instructions for Placing Boxes into Onsite Storage

Please submit an iRequest and Work Management Center will coordinate the logistics with the department.  New pick-ups for storage also require an iRequest, indicating the department location and the number of boxes.  Mail Services will schedule the pick-up for the next available time, usually within two business days.

Boxes

Standard storage boxes measuring approximately 10” (H) x 12” (W) x 15” (D), commonly known as “banker boxes” must be used.  We cannot accept records packed in moving boxes or copier-paper boxes, which do not meet the size requirements of the vendor.

Retrievals from Storage

To retrieve boxes, please submit an iRequest to Work Management Center.  Standard turnaround for requests is two business days. Supply the barcode number(s) of the boxes and the location to which they should be delivered.

Offsite Boxed Record Storage

Offsite storage services are available for all UCOP office locations.  Under the Records Storage Center Program, offices at Franklin may temporary store certain inactive records that must be retained for a number of years for business purposes.  If necessary, records may be retrieved from storage, usually by the next business day if ordered by 3 pm.  Due to space constraints, most of the boxes are stored offsite at the warehouse of a professional storage vendor.  The turnaround time for retrievals is the same, whether boxes are stored onsite or offsite.  Departments are responsible for maintaining inventories and knowing the contents of each box.

Instructions for Placing Boxes into Offsite Storage

Please submit an iRequest and Mail Services will coordinate the logistics with the department.  Indicate the department location and the number of boxes.  Retrieving boxes from Recall also require an iRequest, specifying the barcode number and drop off location.
